  • Uploaded documents (pay stubs, bank statements, IDs, tax returns).
  • Credit reports, criminal background check results, eviction history, and sex offender registry results obtained through authorized third-party providers.

  • Log data (IP address, access times, pages viewed, referring URL).
  • Usage data (features used, actions taken, screening volumes).

  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.

5. FCRA Compliance

TenantFort facilitates the use of consumer reports for tenant screening purposes. As a user of consumer reports, you are required to comply with the Fair Credit Reporting Act (FCRA), including but not limited to: obtaining proper authorization from applicants before requesting reports, using consumer report information only for permissible purposes, providing adverse action notices when required, and following proper dispute resolution procedures. TenantFort provides tools to assist with these obligations, but ultimate compliance responsibility rests with you as the end user.

6. Data Retention

We retain your account information for as long as your account is active or as needed to provide services. Applicant screening data is retained in accordance with FCRA requirements and applicable state laws. You may request deletion of specific applicant data through the dashboard. Upon account closure, we securely delete or anonymize your data after any legally required retention period, which is typically 5 years for FCRA-related records.

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete personal information.
  • Request deletion of your personal information (subject to legal retention requirements).
  • Object to or restrict processing of your personal information.
